How to use the Freelance Hourly Rate Calculator

Freelancers who divide a salary by 40 hours a week end up charging too little. Holidays, sick days, admin, sales and gaps between projects all come out of billable time, and the business costs have to be paid too. This calculator starts from the income you want, adds your costs and an optional buffer, and spreads the total over the hours you can actually bill.

  1. 1Enter your target yearly income before income tax.
  2. 2Enter your yearly business costs.
  3. 3Set your working weeks and billable hours per week.
  4. 4Add a buffer if you want one, and read your rates.

Frequently asked questions

How many billable hours per week are realistic for a freelancer?

Many freelancers bill 20 to 30 hours in a 40-hour week. The rest goes to admin, sales, invoicing and learning. Start with 25 and adjust from your own records.

How many working weeks should I plan for in a year?

52 weeks minus holidays, public holidays, sick days and training. 44 to 46 weeks is a common starting point.

Does the hourly rate include VAT?

No. The result is your net rate. If you are VAT registered, add VAT to your invoices on top.

What is the buffer for?

It covers slow months, late or unpaid invoices and price increases. A 10% to 20% buffer gives you room without guessing each risk separately.
